PS

Why guys like me do not have Corporate jobs?

He just says: We have a client and all of his guys use Google Drive. No one can find his files

"?" That's the only response I can come up with and all others are even more insulting to them.

Anyway.

Housekeeping and File naming rules.

Computer storage is based on Files and Folders. Folders can have Sub folders and Files have different formats depending of their purpose.

That defines the structure of the storage.

Housekeeping and File naming rules first need to define which file formats are used. MS Office has more than .doc as text documents. They differ significantly in power. RTF and TXT are much smaller, load therefore much faster and also can be much quicker transferred to share their content, but they cant hold pictures, Excel graphs or advanced formatting.

Then some files need to be shared and updated.

Housekeeping and File naming rules need both understanding of what Files can do and what they are needed for.

In general there are Top Level Folders like Shared and Personal. Then Team Shared, Manager Shared, Department Shared, Project Shared.

Names must be specific and precise and easy to understand. V usually stands for Version and more complex documents need a change history at the end, if the file format not natively supports that.

The Manager of Department might look at that:

M:Bridge Design Kuala Lumpur/Steel Construction Rules/English Files/Legal Team Shared/

and find there:

Steel Quality Requirements V23.doc
Import Tax Legislations V1.doc
Notes Architect 01022026.rtf
Meeting Presentation London 10052025.pdf

Obviously, the more similar the structure the easier to find are all flies, for also every AI tool.
